Who we are
Web4Budget Limited (company number 09858353) is responsible for your information.
Contact address: 1–7 Harley Street, London, W1G 9QD, United Kingdom
Privacy email: privacy@web4budget.com
About this policy
This policy explains how we use personal information through web4budget.com, including our contact form, appointment booking, sign-in and campaign registration pages.
Our Cookie Policy explains cookies, browser storage and your analytics choice. The Offer Manager callback pages have their own privacy notice, which applies to requests made there.
What we collect
When you contact us
We collect your name, email address, your phone number if you give it, the reason for your enquiry and your message.
We also record your IP address, details of your browser and device, a session identifier, the date and time, and the result of our spam check. We use your IP address to limit repeated submissions.
When you book an appointment
We collect your first name, surname, company, email address, mobile number, the service and time you choose, and any notes or address details you give us.
We also record your IP address, details of your browser and device, and a session identifier. To limit repeated requests, we also use a scrambled version of your IP address.
When you sign in
If you have a client or staff account, we hold your name and email address. We send you a one-time code by email and keep a scrambled version of it until it is used or expires.
We also record your IP address and details of your browser and device for each sign-in session, and we keep a log of sign-in activity. If you turn on notifications in our staff tools, we hold the details needed to send them to your device.
When you work with us
If you are a client, or we are discussing work with you, we hold your name, company, email address, phone number, and details of proposals and services. If you sign a proposal online, we hold your signature.
When you register for a campaign
If you register through a campaign link, we hold your name, email address and the details you give us. If you take part, we also hold the proposals you view, any pledge you make and whether payment has been confirmed.
When you claim an offer
If you claim an offer through our Offer Manager service, we use your email address to issue and check your voucher. We keep your email address in readable form for at least 48 hours, and remove it the next time our system processes a claim after that. We keep a scrambled version to stop the same offer being claimed twice. We also use your IP address to limit repeated requests.
When you browse our website
If you accept analytics, Google Analytics collects information about how you use our website, such as the pages you visit. See our Cookie Policy.
Hostinger, our website hosting provider, may also keep technical logs, which can include your IP address.

Automated spam checks
Our contact form uses Google reCAPTCHA, which gives each submission a score. If the score is too low, the form is not sent. If this happens, you can email us at info@web4budget.com.
Who receives it
We use service providers to run our website and services:
- Hostinger hosts our website and data, and sends some of our email, including contact form, booking and voucher messages. Our packages page also includes a referral link to Hostinger for people who want hosting.
- Google provides our email services, Google Calendar and Google Meet for appointments, reCAPTCHA on our contact form and, if you accept analytics, Google Analytics. Your booking details, including your name and contact details, are added to our Google Calendar, and your email address is added to the appointment. Google also provides the fonts on our website.
- Cloudflare provides cdnjs, which delivers the icons on our website.
- Dropbox stores repositories uploaded by our clients. We do not intentionally use it to store personal information.
We may also share information if the law requires it. We do not sell your personal information.
Transfers outside the UK
Some providers may process information outside the UK. You can ask us for more information about this.
How long we keep it
Our retention period is 24 months for contact enquiries, booking records, client and proposal records, and Offer Manager records. Deletion is not automatic, so these records stay in place until we remove them. We may keep information for longer if the law requires it. The Offer Manager callback notice explains how long we keep callback requests.
We keep campaign registration, proposal and pledge records for as long as we need them for the purposes above, and for longer if the law requires it.
Sign-in sessions end when they expire or you sign out. Google Analytics data is kept in line with the settings in our Google account.
Your rights
You can ask us for a copy of your information, and ask us to correct it or delete it. In some circumstances you can also ask us to restrict how we use it, object to how we use it, or transfer it.
If we rely on your consent, you can withdraw it at any time. To change your analytics choice, use Cookie settings.
To use your rights, email privacy@web4budget.com. We normally reply within one month, and there is normally no charge.
Complaints
If you are unhappy with how we have used your information, please contact us first at privacy@web4budget.com. We will acknowledge your complaint within 30 days, look into it and tell you the outcome.
You can also complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113.
Changes to this policy
We will update this page if the way we use personal information changes, and we will change the date at the top.
